What We Were Asked to Do
The organisers of Dubai Tech Summit β an international technology forum held in DIFC β needed full catering for a two-day event with 350 participants. The audience included C-level executives from the UAE, Europe and Asia.
Key requirements:
- 6 coffee breaks per day with specialty coffee, fresh juices and branded pastry
- Two business lunches with seated service in 45 minutes maximum
- Welcome cocktail on Day 1 and gala dinner on Day 2
- Allergen management: vegan, halal, gluten-free menus
- Branded presentation of all food stations
The challenge: strict time slots between sessions β coffee breaks could not overrun by even five minutes, while maintaining top culinary quality for an international audience.
How We Delivered the Project
We designed a modular catering system: every station was pre-set before the session ended. Our team used a countdown timer to be ready 3 minutes before each break β the food was ready the moment doors opened.
Day 1 programme:
- Morning coffee bar: 4 types of coffee, cold brew, fresh aΓ§aΓ bowls, mini-croissants
- Lunch: mezze table + hot buffet (3 proteins + 4 sides + soup)
- Afternoon breaks: protein bites, fruit platters, energy smoothies
- Welcome cocktail: canapΓ© reception for 350 guests with a champagne bar
Day 2: identical programme + gala dinner with 5-course tasting menu and wine pairing.
Event Outcome
Not a single break ran overtime. All dietary requirements were met β allergen information was displayed at every station. The gala dinner received a standing ovation from attendees.
The forum organisers extended an invitation for catering at the 2026 edition and recommended us to three partner events in the region.
